Summer Party Planning Timeline: Tips for Staying Organized

How to plan your next summer party or event.

Now that summer has arrived, it really opens up the possibilities for having an incredible outdoor party. If you want yours to go off without a hitch, then you’re going to need to stay focused and organized. Many people have problems with this sort of thing, which can lead to a less than stellar event.

The good news is that we’ve been doing this a long time and know how to plan a summer party that’ll be fun and successful. To help you get started, we’ve compiled a quick list of tips that will instantly make any event more organized.

Figure Out Your Guest List

If you want to learn how to plan a summer party, then you absolutely must begin with the guest list. Not only will you need to know who you’re inviting, but you’ll also need to have a basic idea of how many you’re expecting to attend. When creating your guest list, you must figure out the number of guests and whether or not you want each person to have a “plus one.”

Rent a Tent for the Party

You’ll have quite a few items to either purchase or rent for your party, including a tent if you’re doing things outdoors and want to make it more comfortable for your guests. Tents come in a variety of designs and sizes. Since this is Florida, you might also want to rent tent accessories such as sidewalls for privacy and comfort, in addition to fans or AC units to keep everyone cool.

Book a Venue for the Event

Another thing you also want to do early on for your event is book a venue. The venue that you choose will inform certain aspects of your party, such as how large a tent will fit on the property and how many guests could conceivably attend.

If you have your heart set on a specific venue, you should book it far in advance. We can’t tell you how many times we’ve seen plans get messed up because a lot of work has been done only to find out that the venue isn’t available.

Rent Some Basic Party Items

Next up, you’ll want to rent some basic party items. This includes things like tableschairs, dinnerware, glassware, catering equipment, a dance floor, and anything else that’s necessary for the event. Even though you may be able to purchase some of these items or borrow them from friends and family, renting is much easier, and everything will be high-quality and in good shape.

Send Electronic Invitations

Once the basic details have been decided on, you’ll want to send out electronic invitations to all of your potential guests. This is a relatively easy process. There are invitation apps that will help you track invitations and RSVPs.

Facebook has an e-vite system that works quite well. Also, keep in mind that certain guests, especially older ones, may require an old-fashioned, physical invitation instead.

Rent Giant Party Games

When learning how to plan a summer party, you always need to keep in mind what the season is all about—fun! One of the easiest ways to ensure that your guests are having fun is to rent giant party games. These are simply oversized versions of your favorite games, such as Yahtzee, Jenga, and Connect Four. No matter which ones you choose, your guests will have a wonderful time playing them.

Secure the Tent’s Entrance

No matter what type of party you’re having, it’s not a bad idea to secure your tent’s entrance. Adding a door and sidewalls can be effective, but you may want to hire someone to stand there and greet each guest who arrives. Yes, just like a Walmart greeter, except that he or she will likely keep party crashers away (plus, no yellow marks on receipts, of course).

Rent Some Concessions

The final thing that you should rent for a summer party are a few different types of concessions. The most popular ones include machines that dispense popcorn, cotton candy, ice cream, and snow cones. If you’re having some summer favorites such as hot dogs and nachos, you can rent a hot dog rotisserie and nacho cheese dispenser.
