Renting a Tent: Everything You Need to Know
Everything you need to know about renting a tent.
If you’re going to throw any type of party outside — be it an outdoor wedding, birthday party, family get-together, corporate event, etc. — then it’d be a good idea to rent a tent for the festivities. This is a great way to organize the event and keep all of your guests comfortable and happy.
Renting a tent is actually quite easy, but there are always questions to be answered from those who have never done it before. To clear up a few things, we’re going to give you a quick rundown on everything you need to know.
Various Types and Sizes
The first thing to know about tent rentals is that tents come in a few different types and many sizes. You’ll be able to choose from structure tents, pole tents, and frame tents, each of which has their own unique look and attributes. There’s a tent to match nearly every size of event, but you also have the choice of using multiple tents as needed. Also, keep in mind that the surface of the ground may determine which types of tents are best.
Permits May Be Needed
Most cities require a permit if you’ll be putting up a tent that’s over a certain size. There are other factors at play, as well, such as the number of guests and use of sidewalls. You may also be required to get permits for certain pieces of equipment such as generators and heaters. You can get the permit yourself, but the party rental company where you get the tents may be able to do it for you as well.
Shield Guests from Weather
One of the biggest reasons tents are rented for parties is the host wants to shield their guests from the weather. This can be especially important during certain times of the year in Florida where the weather might include a very hot sun or a rainy day. If needed, you can also rent sidewalls along with heating and cooling equipment to keep everyone comfortable.
Season and Time Matter
As indicated above, the state of Florida is often prone to significant changes in weather depending on the season. When you decide to have your party — including the time of the year and the time of day — can alter your operational costs. If it takes place during the winter or at nighttime, for instance, there’s a good chance you’ll also need to pay for heating equipment.
Advance Ordering is Necessary
The general rule when you need to rent a tent is to make a reservation as early as possible. Depending on the available stock and other events going on, you probably want to order the tent at least a month in advance. This will also give you or the party rental company enough time to obtain the proper permits. The process doesn’t take long, but you obviously don’t want to miss the window.
Calculate the Proper Size
One of the most important things that you’ll need to know when you rent a tent is what size you’ll need. Just winging it won’t work. You need to determine how many guests you’ll have, how many tables you’ll need, whether there will be a stage or dance floor, and any other factors that will require more room. You may also want to consider renting more than one tent so that you can split up their functions.
